Who we are
Comara is a travel advisory practice run by Ginny Armstrong. Comara is a DBA of Querra Reserve LLC, a Wyoming limited liability company registered to do business in Colorado, based in Loveland, Colorado. In this policy, "Comara," "we," "us" and "our" mean Querra Reserve LLC doing business as Comara.
This policy explains what personal information we collect when you visit comara.travel, contact us, or work with us to plan travel, and what we do with it.
What we collect
When you fill out an inquiry form. Your name, email address, phone number if you give it, where you're based, and how you heard about us. Details about the trip: where and when you'd like to go, how many people are traveling and the ages of any children, your budget range, what you'd like us to handle, and your travel preferences. For retreats and groups, we also collect the name of your organization or program, the expected group size, and your venue needs.
Information you choose to share. Our forms include an optional field for anything that would help us plan well, such as accessibility needs, dietary preferences, or something about you or your traveling party. Some of this may be sensitive, for example information about health or disability. You never have to share it. If you do, we use it only to plan your trip and share it with suppliers only where it's needed to deliver what you've asked for.
When you book. If you decide to book, we collect the details suppliers require, which may include the full names of all travelers as they appear on passports, dates of birth, passport information, contact details, loyalty program numbers, and special requests. We collect these through secure booking systems, not through our website forms. We do not collect or store payment card numbers on our website. Payments are made directly to suppliers or through secure payment systems.
When you email or message us. The contents of your messages and anything you attach.
When you subscribe to updates. Your email address and, if you give it, your name.
When you visit the website. Our website host and analytics tools automatically collect technical information such as your IP address, browser type, device, pages visited, and how you arrived at the site. See "Cookies and analytics" below.
How we use it
We use your information to:

Who we share it with
We do not sell your personal information, and we do not share it for advertising purposes.
We share it only as needed to do what you've asked, with:
Travel suppliers. Hotels, destination management companies, transfer and transport providers, guides, tour operators, cruise lines and airlines receive the information they need to confirm and deliver your booking. Once they have it, their own privacy policies apply.
Service providers. Companies that help us run the business, such as our website host, email and document providers, form and scheduling tools, and accounting software. They may use your information only to provide services to us.
Professional advisers. Our attorney, accountant and insurers, where necessary.
Legal and safety reasons. Where required by law or legal process, or where we believe in good faith it's necessary to protect someone's safety, health or rights.
If the business changes hands. If Comara or Querra Reserve LLC is sold, merged or reorganized, your information may transfer to the new owner, who will be bound by this policy for information collected under it.
Cookies and analytics
Our website is hosted on Wix, which uses cookies and similar technologies to keep the site working, remember your preferences, and measure how visitors use it. Some cookies are essential; others, such as analytics cookies, are optional.
When you first visit, you can accept or decline optional cookies through the cookie banner. You can change your choice at any time through the cookie settings link in the website footer, or by adjusting your browser settings. Declining optional cookies won't stop the site from working.
We do not use cookies to sell your information or to target you with advertising on other websites.
International travel and transfers
We're based in the United States, and our website and service providers are mostly located here. Because we plan international travel, your information will often need to go to suppliers in other countries, including Portugal and elsewhere in the European Union, to book and deliver your trip. Privacy laws in those countries may differ from those where you live. We share only what a supplier needs to fulfill your booking.
If you're in the European Economic Area or the United Kingdom, we process your information to take steps at your request before entering into a contract with you and to perform that contract, and, for email updates, on the basis of your consent.
How long we keep it
We keep inquiry information for as long as it's useful for planning with you, and generally no longer than two years after our last contact if you don't book. We keep booking records for as long as needed to manage your travel, handle any later questions or claims, and meet tax, accounting and legal requirements, which is generally seven years. When we no longer need information, we delete it or make it anonymous.
How we protect it
We use reasonable safeguards to protect your information, including secure, access-controlled accounts, two-factor authentication where available, and keeping sensitive booking details such as passport information out of email and website forms wherever possible. No system is perfectly secure, so please don't send passport numbers or payment card details by email. We'll tell you how to send them safely when they're needed.
Your choices and rights
Wherever you live, you can ask us to:

tell you what personal information we hold about you and give you a copy

correct information that's wrong or incomplete

delete your information, unless we need to keep it to complete a booking or meet a legal obligation

stop sending you email updates
Depending on where you live, you may have additional rights under local law, such as the right to restrict or object to certain processing, to data portability, or to withdraw consent. If you're in the European Economic Area or the United Kingdom, you also have the right to complain to your local data protection authority.
To make a request, email us at the address below. We may need to confirm your identity first. We'll respond within 30 days, and we won't treat you differently for exercising your rights.
Every update email includes an unsubscribe link, which works immediately.
Children
Our website and services are meant for adults. We don't knowingly collect personal information directly from children under 16. When a family travels together, we collect information about children, such as names and ages, only from a parent or guardian, and only to plan and book the trip. If you believe a child has sent us information directly, contact us and we'll delete it.
Changes to this policy
We may update this policy as our services change. When we do, we'll change the effective date at the top. If a change materially affects how we use information we already hold, we'll let affected clients know directly.
